Almost any mainstream business tool — Outlook and Google Workspace, HubSpot-style CRMs, QuickBooks-style accounting, the major e-commerce platforms, modern VoIP phones — supports connections, either directly or through an integration platform. Genuinely closed systems are rare; older ones may need scheduled exports instead of live sync. Discovery includes verifying every system on your list, so the design tells you exactly what is possible before you spend anything.
It is the rule naming which system owns each kind of data — where edits happen, while every other system holds a deferential copy. It matters because two systems editing the same record and syncing at each other will eventually overwrite good data with bad. Agreeing the map up front is the difference between integration and expensive chaos.
Not with an integration designed for failure. Failed items land in a review queue with the reason attached, a named person on your team is notified, and nothing is partially written into the target system. Once the cause is fixed — usually a missing field or a service outage — queued items re-run. Loud, recoverable failure is the design goal.
One-way, wherever possible — it is dramatically simpler to reason about and to fix. Two-way sync earns its complexity only for fields that genuinely change on both sides, and then with explicit conflict rules. Distrust any proposal that defaults to syncing everything both directions; that is how reconciliation nightmares are built.
Usually, with adjusted expectations. Legacy tools often cannot do live sync but can produce scheduled exports we process automatically, and a small custom connector can wrap unusual systems. Occasionally the honest answer is that replacing the tool costs less than integrating it — and if so, the design document says exactly that.
Vendor updates are routine and mostly harmless, because supported connection interfaces are maintained across versions precisely so integrations survive. Occasionally a vendor retires something with notice, and the connection needs adjusting — that is what monitoring and the optional support arrangement exist for. What protects you most is documentation: every connection's purpose and logic is written down, so fixes are quick.
