Unreliable office internet is almost always one of four problems, a fault inside your own network, a connection running out of capacity, a technology poorly matched to how you work, or a genuine provider-side issue. The fix starts with documenting the failure pattern, then eliminating causes in that order, so you end up either with a repair case backed by evidence or a clear reason to switch connections.
Why "the internet is down again" is not a diagnosis
When a connection misbehaves, most offices respond the same way: someone reboots the router, things improve for a while, and everyone moves on until it happens again. That cycle can run for months, and every repetition costs you card transactions, dropped VoIP calls, stalled video meetings and staff standing around.
The reason the cycle persists is that "unreliable" describes at least four very different problems that need four very different fixes:
- A fault inside your own network — aging router, flaky Wi-Fi access point, damaged cable, misbehaving switch.
- A capacity problem — a connection that works fine at 8 a.m. and collapses at 11 a.m. because more people and devices are using it than it can handle.
- A technology mismatch — a connection type whose known weaknesses line up exactly with what your business does all day.
- A genuine provider-side problem — a degraded line, repeated outages in your area, or an unresolved fault on the circuit.
Rebooting the router only ever addresses the first, and only temporarily. The sequence below works through all four in order, cheapest and most likely first. By the end you will know which problem you actually have — and whether the answer is a repair ticket, an upgrade, or a different connection entirely.
Step 1: Document the pattern before changing anything
Resist the urge to fix things for two weeks and instead gather evidence. This feels slow, but it is the step that makes every later conversation — with your IT support, with your provider, or with a consultant — short and productive.
Keep a simple shared log, a spreadsheet or a note anyone in the office can add to, with a row per incident:
- Date and time the problem started and roughly when it ended.
- What failed — everything, only Wi-Fi, only phones, only one application, only uploads.
- Who was affected — the whole office, one area of the floor, specific machines.
- What was happening — end-of-day backups, a company-wide video call, lunchtime streaming, a storm outside.
Patterns identify culprits. Problems that hit at the same busy hours every day point to capacity. Problems limited to one corner of the office point to Wi-Fi coverage or a bad drop. Problems that affect wired and wireless devices at once, at random hours, point at the connection or the provider. Problems that follow weather point at outside plant — the physical line between your building and the network.
Also record what a wired computer's speed test shows during an incident versus a quiet morning. You are not chasing a specific number; you are capturing the difference between the connection at its best and at its worst, which is exactly what a provider's support team will ask about.
Step 2: Rule out your own equipment
More office "internet problems" than anyone likes to admit live entirely inside the suite, on hardware the provider has never touched. Before blaming the connection, eliminate the usual suspects:
- Test wired, at the source. Plug a laptop directly into the provider's modem or gateway with an Ethernet cable and work from it during a bad period. If the problem disappears, your connection is fine and the fault is in your router, switches, cabling or Wi-Fi.
- Check the age of the router and access points. Networking gear bought when the office had eight people often limps along invisibly as the office grows. Overloaded consumer-grade routers are a classic cause of midday slowdowns that get blamed on the provider.
- Walk the cabling. Look for patch cords crushed under furniture, connectors hanging by a thread, cables run alongside power lines or through door hinges. One damaged cable feeding a switch can degrade everything behind it.
- Map Wi-Fi coverage honestly. Concrete walls, metal shelving, glass partitions and neighboring networks all erode wireless performance. If wired desks are fine and laptops struggle, you have a Wi-Fi design problem, not an internet problem.
- Look for bandwidth hogs. Cloud backup jobs, security camera uploads, software update servers and personal streaming can each quietly consume a large share of the connection. Many business routers can show per-device usage; check it during a bad hour.
If the wired-at-the-source test still shows problems, move on — the issue is upstream of you, and everything you just documented strengthens your case.
Step 3: Separate capacity problems from reliability problems
These two get lumped together, but they diverge completely at the solution stage.
A capacity problem means the connection works as designed and your business has simply outgrown it. The signature: performance is fine early and late, painful at peak, and worst when a specific heavy activity — a large file sync, an all-hands video call — coincides with normal work. Uploads are often the first thing to choke, because many non-fiber connections offer far less upload than download capacity, and modern offices upload constantly: cloud files, video calls, backups, camera feeds.

A reliability problem means the connection does not work as designed: outright outages, connections that drop and re-establish, latency spikes that make phone calls robotic even when a speed test looks acceptable. Reliability problems at random hours, on a connection with plenty of headroom, are provider-side or line-side until proven otherwise — and no upgrade to a bigger tier of the same troubled line will fix them.
Your two-week log tells you which one you have. Many offices discover they have both: a connection that is too small and on its way out. That matters, because it changes the question from "how do we fix this" to "what should we order instead."
Step 4: Ask whether the connection type is the real problem
Some reliability complaints are really architecture complaints. Different ways of delivering business internet fail differently, and if your connection's known weak points line up with your daily work, no number of repair visits will change the underlying physics.
Cable-based business internet, for example, typically shares neighborhood capacity and offers asymmetrical speeds — characteristics that show up as slow afternoons and strained uploads even when nothing is "broken." Fiber connections are typically symmetrical and less sensitive to neighborhood load. Step 5: Open a provider case — with evidence
If your own equipment is ruled out and the pattern points upstream, open a support case, and do it in a way that gets results:
- Lead with the log. Dates, times, symptoms, and wired-at-the-gateway test results. A documented pattern moves you past the scripted "restart your modem" tier much faster.
- Ask specific questions. Has the line shown errors on their side? Have there been area outages matching your dates? When was the physical drop to your building last inspected?
- Request escalation if incidents recur. One visit that finds nothing is common; a repeat case with the same documented pattern justifies a line test or an outside-plant inspection.
- Get case numbers and keep your log running. If you later decide to switch providers or connection types, a documented service history also matters for any early-termination conversation.

Fix, upgrade or switch: making the call
With the diagnosis in hand, the decision usually falls out naturally:

Two honest warnings. First, do not upgrade your way out of a reliability problem — a bigger tier on a faulty line is the same faulty line with a bigger bill. Second, do not switch providers to escape a problem that lives in your own wiring closet; it will follow you.
Protect the office while you decide
Diagnosis and switching both take time — availability checks, ordering, installation. If your business loses money the moment the connection drops (card payments, phones, cloud-based operations), do not wait for the permanent fix to add protection.

Construction is constant across the Dallas–Fort Worth area, and excavation is a classic cause of damaged lines — an office near active development has a genuinely higher exposure to cuts, which strengthens the case for a backup with a different physical path.
